When it comes to destination weddings, the invitations RSVP date is much more than just an old-fashioned formality. Youll not only be relying on an accurate guest count to determine catering, but your special group travel rate or free resort package might also hinge on how many people actually show up. The earlier you know your headcount, the better equipped youll be to plan and budget accordingly.

You’ve found the perfect invitation for your occasion, but what do you put on it? Below is a list of the details to check for when you compose and order your party invitations:

Purpose of the invitation:

A birthday party, a wedding, a holiday party, a graduation party open house.Include the occasion you are celebrating.

Name of honoree:

“Sally Smith” or “Ken and Jennifer”- the birthday person, the graduate, mother-to-be, the bride and groom

Day and Date

“Saturday, August 29th” or if it is formal, “Saturday, the twenty-ninth of August. Be sure to look at your calendar to make sure as in this example, the date is really on a Saturday.

Tip:When you include the year after the date:

Correct: August 29, 2025 Incorrect: August 29th, 2025 the “th” or “nd” is only used when a date is not followed by the year.


Informal invitations do not require the year.

For a formal event, include the year and spell it out: “two thousand and twenty-five” instead of “2025.”


“6:00 p.m.” with small letters and periods p.m.

For for formal events, spell out the time such as: eleven o’clock in the morning six o’clock in the evening with little “o” and “c” on the word “o’clock”

Tip:Before 6:00 p.m., use “in the afternoon”After 6:00 p.m., use “in the evening”

Name of Place

If the party is not in your home, you should include the name of the place: “Opah’s Restaurant”If the party is at a home, you can use: “at the home of Dan & Chris Robinson”

In todays world, a lot of couples are finding it necessary to include a Covid-19 statement on their wedding invitations. The details card is the perfect place for this! As shown in the example above, a lot of couples are including instructions on mask usage at their weddings. Some venues may require mask usage or other pandemic-specific regulations in which case you can state on your details card. You could also direct guests to check out your wedding website for Covid-19 protocols. Either way, you cant go wrong with recognizing the current state of the world and giving your guests appropriate instruction on how you are moving forward regarding it!

Another item that you may want to include on your details card is dress attire. Of course, if you do not have a desired attire, you can leave this out. However, if you are requiring all guests to wear business casual, or cocktail attire, or casual attire, this should be stated on your details card. There are several different ways to go about this, such as keeping it short + sweet as shown above or deciding to say something like We kindly request that all of our guests wear cocktail attire.

Other items that may need to be included on your details card:

TRANSPORTATION INFORMATION: If you are offering a shuttle or some sort of transportation to get your guests to and from the hotel, you should include this information on your details card.

    Traditionally the name of the bride always precedes the grooms name. If the brides parents are included on the invitation and she shares their last name, then only her first and middle name are used. This same rule applies for the groom.
