When To Book Wedding Venue

How Do I Decide On A Wedding Venue

Booking Your Wedding Venue | Terms and Conditions

Couples should decide on their wedding venue based on what the venue can provide for their big day. It is advised that couples consider the size of their wedding party, budget, location, ceremony arrangements , approved list of caterers, whether or not you will have sole use of the venue and accommodation prior to booking their wedding venue.

There are many factors to consider when booking your dream wedding venue.

There are likely to be key factors to consider for each couple personally, so there will be pros and cons based on your particular preferences and requirements for your wedding.

Think carefully about the capacity of your venue.

If your venue can hold 450 people, but you only plan on inviting 100 people, or so, it is likely that the venue will feel too sparse on your big day.

Booking a venue that caters perfectly to your guest list is often a great consideration to make.

If you are unsure about this, we would always suggest speaking to your venue it could be that larger venues can be made to feel more intimate for a smaller wedding party but this is something that your will need to discuss with your venue.

Budget is another element that couples should take into consideration when booking their wedding venue.

We were shocked that the cost of our venue was so high in comparison to others however when we enquired, we found that a lot more for our money was offered in terms of the accommodation, bar, and catering!

Each to their own.

Questions To Ask Before You Schedule A Venue Tour

As you reach out to venues by phone or email, use this opportunity to ask them a few questions. This will help you verify whether or not a tour is worth your time. Wedding planning is a ton of fun, but its also a lot of work. You dont want to waste any time looking at venues that can be easily ruled out.

Some important questions to ask include:

  • What is the rental rate?
  • How much is the deposit?
  • What payment plans are available?
  • How far in advance can I book my wedding?
  • What is the cancellation policy?
  • What days of the week are available?
  • Are there any discounted rates for off-season weddings or days of the week?
  • Are catering, music or photography services included?
  • If not, do I have to use an approved wedding vendor?
  • How many hours do I get to use the venue?
  • What is the venues capacity?

Based on each venues response, you can decide if you want to schedule a tour. You can also use this interaction to assess whether or not the venues staff is friendly, accommodating, and easy to work with.

Wedding Venue Checklist Part : Preparation

The last big step before we actually get to the site itself is to answer these important questions for yourself to focus your search and eliminate some of your current options.

1. Get an accurate quote

Rather than going off the venues minimum cost, get an accurate quote that factors in the venues full breakdown of costs. These quotes consider a multitude of factors, including things like your target guest count, the time of the year youre hosting the event, and more. A detailed quote helps you better understand how a venue fits into your budget . Spot Estimates can be a great way to ballpark the cost of a venue before you even set foot on site!

2. Determine the venues true capacity

If the venue has only given you a general capacity number, find out whether that number is based on sitting or standing room. Most venues provide a seemingly straightforward headcount, but sometimes the number of guests a venue can accommodate varies depending on if you hope to host a standing cocktail-style affair or a seated soiree.

Also, they might have a minimum and maximum headcount needed to officially book a date after youve put down the deposit. If they do, ask them when they need to know and what documentation theyll accept as proof.

3. Explore your ceremony options

4. Talk details around alcohol and catering

5. Ask about coordination services

Wedding Venue Checklist Part : Most Frequently Asked Questions

Lets clear up some of your most burning questions about wedding venues, wedding venue checklists, and other key factors.

1. What should a wedding venue include?

No matter what size wedding or wedding budget youre working with, you can expect your wedding venue to include: an area for the ceremony, an audience space, and two separate lounge spaces for both sides of the wedding party to get ready in. Ideally your venue would also include convenient valet service, catering, and even reception options.

2. How long does it take to tour a wedding venue?

Most wedding venue tours last about 45 minutes to an hour for a standard visit and consultation with the guide. If your venue is being held on an extensive property , you should budget an additional hour or two.

Find the perfect wedding venue!

3. How far in advance can you book a wedding venue?

A good rule of thumb for a wedding venue in high demand, during wedding season , and/or in a highly populated area is that it will likely book out approximately 9 to 12 months ahead of time. Which means youll want to tour venues about 15 months ahead of time. If more than one of these factors affect your wedding, you should start booking tours as much as 18 to 24 months out.

Make Your Registry & Wedding Website

Eden Lassie

We’re of the mindset that making your wedding registry is actually one of the most exciting tasks on your wedding planning checklist. Why, you ask? You get to shop for gifts for your newlywed life that other people will buy for you. That’s pretty epic in our eyes. And, in case you aren’t aware, registry gifts are insanely amazing these days. You might associate wedding registries with department stores and scan guns, fine china and endless sets of extra linen. But did you know you can register for cash funds, gift cards, experiences and really cool gifts, like state-of-the-art espresso machines or money for adopting a pet? It’s trueand it’s safe to say that registries are better than they’ve ever been before.

It’s important to make your registry in advance, as this will help you avoid receiving unwanted gifts from well-meaning loved ones. Plus, your friends and fam will want to start showering you with presents as soon as possible, so a registry will help keep their shopping on track.

Your wedding website is also a great resource for guests. It’s a hub that houses all of your wedding details that can be easily referenced to answer questions. Plus, you can have a lot of fun customizing your site to match your wedding theme, thus creating an engaging guest experience. Dedicate part of your early wedding planning tasks to making your website a creative guide for your loved ones.

When To Book A Wedding Videographer:

The Knot: 6-8 monthsBrides.com: 6 monthsMy suggestion: It depends.Notes: This is a tricky one, so Im going to give a slightly nuanced answer. If youre going to hire a wedding videographer, you need to decide early in the process how important the wedding video is to you. If a fabulous, amazing wedding video is a high priority for you, then you need to treat the videographer the same as the photographer and the wedding DJ and book them as early as possible. If its a low priority and youre just going to hire the cheapest person you can find, it can probably wait until later. For the top wedding videographers in any area, the same scarcity rule will apply and they will get booked very early.

Creative Ways To Book More Weddings

1. Partner with other businesses the couple visits just BEFORE you.

Now if your business is a wedding venue, youre one of the first stops on the wedding planning checklist. But there are a few businesses the bride gets to know before you

Jewelry Stores The engagement ring usually gets purchased before the question is popped and the date is set. Partner with a local jewelry store and make the soon-to-be engaged couple an enticing offer that puts your location top of their list.

Bridal Shops Brides are notorious for shopping for a dresseven before he pops the question! This is a great place to introduce your venue to brides before any of your competitors.

Give your partners a voucher coupon to present to newly engaged couples that makes a special introduction to your venue as soon as the engagement is official.

Ideas:

  • A free romantic brunch or lunch at your venue.
  • An exclusive invitation to a wine tasting.
  • A wedding planning workshop hosted at your location.

If you target wedding businesses like these who work with similar clients in your budget range, youll get extremely warm leads delivered right to your door. Win them over, and youll book up your calendar.

2. Meet them online.

One of the biggest challenges a couple faces when planning a wedding is finding the right location. Consequently, its the #1 question asked in the chat rooms and the #1 search done online. Theyre simply rabid for wedding venue ideas and reviews.

3. Feature your Real Weddings everywhere.

Which Season Do You Want To Get Married In

Just as there’s no one perfect wedding date, there’s no clear ‘best month for marriage’. That all depends on the couple and their own preferences. If you’re someone who likes to plan parties, then a good month for marriage is one where nobody in your immediate family has a birthday. That way, there’s another month where you have an excuse for a big night out .

If you have a specific kind of wedding in mind, you may want to plan around that. The best time of year for an outdoor wedding is one where the weather will be warm and dry, but not so hot that your guests will get a sunburn. Financial considerations may be important too. The best time to have a wedding is “when you can afford it”, so weddings around other major holiday seasons may not be a great idea. The most popular time of year to get married varies across the United States so it’s a good idea to call around prospective venues, talk to caterers and entertainers, and make your decisions based on that.

How to Pick a Wedding Venue + Questions You MUST ASK While Venue Shopping

Generally wedding venues have enough parking space to accommodate all vehicles as per their capacity. However, you should still do a site visit to see that they deliver on what they promise and to check on the location, space available & parking facility.

Ask Your Venue What Is Included And Decide Whether Its Worth Keeping Or Outsourcing To An Outside Company

I will say- it all comes down to linens. When you are spending thousands of dollars on gorgeous floral arrangements and then you place them on an over laundered, likely stained, basic linen that is threadbare and doesnt touch the ground on all sides, it might not be worth the savings of using the in-house linens. Renting linens wont amount to much being spent, but they will definitely make a big, positive impact on the appearance of your wedding reception. This concept could also apply to more than just linens, including wedding coordinators, chairs, music, and sometimes desserts.

All of the things above are based off of what I have witnessed and had to deal with as a wedding planner, and are also things that my own couples almost never think of. Its our goal at Every Last Detail is to provide you with information that help you plan the best wedding you can possibly have, so its my hope that this insight will do just that when it comes to booking and working with your wedding venue!
